Tap Trackers Basics - Structure

Territories are geographical areas.

Line Cleaners (Techs) are responsible for a territory. Techs can only be linked to one territory.

You can have two techs linked to one territory - for training or to have a two-man crew.

Each territory consists of multiple routes.

Routes are made up of establishments (bars/restaurants - your customers). Each route has one or more establishments.

Routes contain the establishments that you would service in one day. Example: Sports Bar at 8am, Pizza place at 10:30, and finally the Steakhouse at noon - that route would have three establishments (calls). You may have only one establishment on a route, or many. It is only limited by how many calls you can complete in the normal hours of a work day.

The number of routes in a territory depends on your line cleaning frequency.

If you clean on a two-week cycle, you should have a max of 10 routes.

You would service routes 1 - 5 in week one, then routes 6-10 in week two. Then you would need to return to route one on the third Monday to maintain a 2-week cycle.

If you are on a four-week cycle, you would have 20 routes - four x five day weeks. Again, you can choose to have only one establishment in a route, so you could run this with only 20 establishments.

Catch Up Days and Holidays

You can build in Catch Up days into your schedule. We’ve found that if you are on a two-week cycle, it may be best to have only 9 routes, and 18 on a four-week cycle. This is handy because you’ll need to juggle/reschedule some calls. You’ll have emergency service calls, which you’ll have to complete instead of a cleaning. The restaurant may be out of beer gas when you show up to clean. Your work truck may need to go to the shop. There are many reasons for not being able to complete a call. Catch up days solve that problem.

Holidays are listed in the system. We will send you a list at the beginning of each year (or when you are onboarded) from which you can pick the days that you are closed. This way, you won’t schedule any calls on Christmas Day.
